Job Posting: Call-In Worker (Administrative position) Port Elgin, ON

Unifor is looking for an enthusiastic and skilled call-in Administrative Assistant to provide overflow and absence coverage services to the front desk and the Paid Education Leave (PEL) departments at the Family Education Centre (FEC) in Port Elgin on an as-needed basis. 

The successful candidate will be assigned a flexible schedule requiring availability on weekends, evenings and workdays. The position is fast-paced, deadline-driven and  customer service focused. The successful incumbent must be highly organized with the ability to prioritize. 

Duties and Responsibilities (guidelines may include but are not limited to):

  • Perform administrative functions in a punctual, professional manner;
  • Provide accurate information and exemplary customer service to members, staff and guests while working on reception or taking telephone calls;
  • Manage emails, phone calls and faxes from various levels of Unifor staff, local unions, members and the public who use our facilities;
  • Provide support and coordinate information on matters relating to facility availability, check-in and check-out processes as well as assisting the office with other requirements, as needed;
  • Responsible for cash and cheque handling during check-in/check-out and tuck shop sales;
  • Maintain databases relating to registrations and PEL through set up, data entry and reporting;
  • Coordinate information with Directors, coworkers, accounting, and other Centre Staff (housekeeping, kitchen and conference services, etc.);
  • Maintain an organized filing/document management process for electronic and paper documents.
  • Other duties as assigned.
  • Post-secondary education, diploma holder or equivalent experience;
  • At least two (2) years’ experience in a similar customer service/administrative role or equivalent;
  • Flexibility for on-call availability for weekend, evening and weekday assignments;
  • Excellent interpersonal, written and verbal communication skills in English as well as effective phone etiquette, to diverse audiences;
  • Meticulous attention to detail;
  • Strong proficiency in Microsoft Outlook, Word, Excel, with the ability to quickly learn new systems and programs;
  • Good time management skills, agile at handling multiple tasks while working within sometimes tight and competing deadlines
  • Capable of maintaining a professional demeanor while resolving issues, often, in the presence of the customer;
  • Understands and abides by the organization’s values, specifically diversity.
  • Ability to solve problems and deal with ambiguous situations;
  • Highly motivated self-starter with ability to work independently as well as in a team environment.
  • Knowledge of French (oral and written) is considered and asset
